  • Overview

    We have an outstanding opportunity for an Account Administration Representative to join our organization. Under supervision of the Supervisor-Account Administration and Collections, the Account Administration Representative handles complex maintenance of customers’ accounts through performance of various administrative functions in the Customer Information System (CIS).   The Account Administration Representative is responsible for the analysis and resolution of exception reports, billing transactions, and support of collection efforts affecting the financial integrity of WaterOne.  The incumbent provides support of customer interactions and backup for front counter representatives as required.      



    • Perform daily billing audits.   
    • Address and resolve all issues then process accurate billing and invoicing.     
    • Perform daily audits on accounts where consumption measured does not meet estimated thresholds. Initiate the appropriate action to resolve the discrepancies then process for billing.
    • Review closed accounts on an individual basis which includes, but is not limited to, investigating and managing all credits, refunds, debits, write-offs, transfers, and transaction reversals.
    • Meets accounts receivable objectives by ensuring all payment batches are received, processed and posted to customer accounts. Resolve payment issues brought forth by third party check processor. Process manual checks from all areas of the organization.
    • Manage the automatic, EFT process, including setting up and deactivating customer profiles while maintaining a high level of confidentiality.
    • Manage communication through the customer service email inbox.
    • Responsible for, or assist with, the coordination and documentation of delinquent accounts by following processes for returned checks, security deposits, account transfers, delayed payment charges, notices of discontinuance, and field collection orders. Ensure collection histories are up-to-date.
    • Provide backup for Teller as required.
    • In addition to documenting current state, identify and recommend areas where streamlining processes will increase productivity of the department.
    • Maintain an in-depth, working knowledge of the CIS system in order to handle rare and unusual situations.
    • Assists with onboarding new employees in the Customer Service Department.  
    • Perform other job duties as assigned.


    • Must be a high school graduate or have a GED; prefer some college credit with an emphasis in business.
    • Requires two years customer service experience.
    • Requires three years general office experience.  Note: An equivalent combination of education and experience may be considered in meeting the requirements of qualifications 1-3.
    • Must have the ability to obtain a thorough understanding of WaterOne rules, regulations, and other standards as they apply to customers.
    • Must have superior verbal communications skills, both in person and over the telephone.  Must have proven customer relations skills.  Must have good business writing and listening skills.
    • Must be proficient using the MS Office suite of applications, including Word, Excel, Access, Outlook, and PowerPoint.
    • Experience with enterprise resource planning (ERP) software such as SAP is preferred.
    • Must have experience with online Customer Information Systems (CIS) and a working knowledge of Customer Relationship Management Systems (CRM).
    • Must be familiar with or have the ability to learn the enterprise wide integrated HR, Accounting, Workflow Management & Maintenance Management, and Supply Chain Management system.
    • Must be detail oriented and maintain a high level of accuracy.
    • Must have good basic math skills.
    • Experience with billing procedures or customer receivables is a plus.
    • Requires ability to solve complex problems and analyze data.
    • Must have or be able to acquire a good understanding of the roads within WaterOne’s service area.
    • Must have good work habits and continuously meet attendance expectations.
    • Must be available to work overtime as required during emergency situations.Must pass post offer medical exam, including drug screen and background verification.
